Dental Scheduler

Job Description


The Dental Scheduler responsibilities include, but are not limited to, scheduling new and returning client appointments, operating telephone queue, entering consumers into the EHR system, completing referral forms, collecting and processing insurance information and exceptional communication to all other team members as needed all while providing great customer service.

*This position is scheduled Monday-Friday 7:30 am to 4:30 pm.

ESSENTIAL FUNCTIONS:

  • Answer incoming calls
  • Provide excellent customer service 100% of the time
  • Determine type of service caller is seeking, triaging oral health care need and the urgency of scheduling.
  • Collect full and complete insurance information from caller
  • Route all private insurance information to the appropriate clinic staff for verification indicating the date of the appointment
  • Verify Medicaid insurance coverage for dental services paying attention to 3rd party payers while on the phone with caller
  • Enter and run verification of Medicaid insurance in the electronic medical record if the appointment is scheduled within 3 days
  • Verify address, phone number, and potential need for updating annual registration paperwork, and schedule the paperwork appointment as needed
  • Manage patient appointments, confirm appointments and alert patients if they need to bring any information to appointment (co-pays, past due balances, paperwork for sliding fee scale)
  • Coordinate and schedule an interpreter if needed with follow-up notification to all appropriate staff
  • Verify eligibility for a 6-month check-up (recall) prior to scheduling that type of appointment
  • Be knowledgeable of the sliding fee schedule and acceptable proof of income
  • Accurately inform callers without insurance or with limited Medicaid information on the slide and what is required for acceptable proof of income
  • Be able to estimate dental fees for copay and extractions. Repeating the phrase "this is only an estimate and may change based upon proof of income that is provided" is required during call
  • Schedule the dental appointment with the dentist of record
  • Repeat appointment date, time and location to caller 100% of the time
  • Inform parent or legal guardian that they must be present at the first appointment or if annual registration is due
  • Inform caller they will need to bring a list of their medications
  • Place a note in the detail box of the paperwork appointment regarding slide and insurance information
  • If no appointment is made, provide appropriate referral or transfer to the appropriate clinic as needed based on callers' specific need
  • Other duties as assigned



    High School/GED required
  • Clerical experience preferred
  • Experience in a dental setting preferred
